    Submit Multiple Folders

    On Imprima VDR multiple folders can be submitted at once by using an Excel workbook. Please follow these steps to proceed:

    • Access the platform and enter the room as a Deal Manager.
    • Go to the "Tools" tab.
    • Choose the option labelled "Submit Multiple Folders."

     

     

    • Prepare Excel spreadsheet:
      • Create an Excel workbook.
      • In Column A, list the Index Numbers of the folders to be created.
      • In Column B, list the Titles of the new folders.
      • Ensure that Column A is formatted as Text to maintain the integrity of the index numbers.
      • Ensure the tab is named “Sheet1” (it must remain in English).
      • Save as XLSX or CSV.

     

    New Folders Index Numbering

    Ensure the index number for new folders isn't already created in the dataroom. If so, these will be highlighted on the review screen but dismissed when clicking on “Confirm”.

    Ensure the rows are sorted by alphabetical order based on index numbering (column A).

    If some index numbering is missing, missing folders will still be created with the title “[Blank]”. These can removed later by using the Batch Delete tool.

     

     

    Batches Considerations

    Multiple folders batches are limited to 1,000 lines. Should you have more than a thousand items (folders or documents) to be created, you will have to split your spreadsheet into several ones with a maximum of 1,000 lines.

    You don't need the columns headers. Start directly with the first item to be created on row 1.

    Your spreadsheet must have only one tab, named “Sheet 1” (the name must be in English).

     

     

    • Click “Select” to import the prepared Excel spreadsheet and upload it to the system.
    • The system will display the new folder structure, including the index numbers and titles.
    • Review the information to ensure accuracy.
    • Choose which permission settings you would like to see applied on these new folders:
      • Hidden for everyone is selected by default
      • The new folders can inherit permissions from parent folders
      • New main folders can't inherit permissions and will be hidden by default

     

     

    • Click on "Confirm" to finalize the submission. 
    • Don’t forget to manage permission settings if needed and publish your changes (in the “Documents” or “Permissions” tab).
