On Imprima VDR you can easily rename folders and documents in one go from a spreadsheet with the “Batch Rename” tool. Please follow the steps to proceed:
- Access the platform and log in.
- Enter the data room as a Deal Manager.
- Navigate to Tools.
- Choose the "Batch Rename" functionality from the available options.

- Prepare an Excel spreadsheet:
- Create an Excel workbook.
- In Column A, list the Index Numbers of the folders/documents you want to rename.
- In Column B, list the current titles of these folders/documents.
- In Column C, list the new titles you want to assign to these items.
- Ensure that Column A is formatted as Text to maintain the integrity of the index numbers.
- Ensure the tab is named “Sheet1” (it must remain in English)
- Save as XLSX or CSV
Batches Considerations
Renaming batches are limited to 1,000 lines. Should you have more than a thousand items (folders or documents) to be renamed, you will have to split your spreadsheet into several ones with a maximum of 1,000 lines.
You don't need the columns headers. Start directly with the first item to be renamed on row 1.
Your spreadsheet must have only one tab, named “Sheet 1” (the name must be in English).
- Click “Select” to import the prepared Excel spreadsheet and upload it to the system.
- Verify that the items have been renamed correctly under the "New Name" column in the system's preview / confirmation screen.
- Once you've confirmed that everything is correct, click "Submit" to apply the changes and complete the batch renaming process.
- Don’t forget to publish your changes (in the “Documents” or “Permissions” tab).
