Smart Redaction can automatically redact several types of personally identifiable information (PII). At present, the PII items included are Company Names, Person Names, Emails, Addresses, Phone Numbers, Date of Birth, Social Security Numbers, Passport Numbers, and also Monetary Values. We’re also about to release automatic Signatures and Logo Redaction too, so watch this space!

Is Smart Redaction enabled in your room?
Don't hesitate to get in touch with your Customer Success Representative to confirm this feature is enabled in your room and/or ask for an overview.
Before redacting
Prior to redaction functionality working, documents will undergo Optical character recognition (OCR). Once this process is complete, it will be shown next to the document in the Dataroom ("Redaction Readiness").
To see the redaction readiness, log into the Dataroom, and select the folder that requires redaction, the redaction readiness and OCR process will be shown next to the documents.
In the example below, the “Redaction Readiness” status shows that the documents are:
- Ready to be redacted manually
- Ready to be redacted automatically (with PII items and your list of words)
Should a different status appear, we recommend to sanitize the document so it is reprocessed before going through OCR again.
What can Smart Redaction do?
Smart Redaction enables you to:
- Manually redact any document within your room
- Automatically redact any document within your room
- Based on AI findings for PII items
- Based on your in-document searches
- Based on your list(s) of words, either prepared in advance or populated with your previous searches while going through your documents
- Populate lists of redaction-excluded words (exclusions list)
As an administrator, you will still have access to the document's original version, whereas your bidders will have access to the redacted version. You can also decide, at some point, to remove the redaction for the bidders to have access to the original version.
Smart Redaction on Archives
Once the deal is concluded, you can request archives with or without redaction on the documents.
How do I know Smart Redaction is applied?
As a deal Manager, the information is displayed in the grid, under the Redaction column.
- Manual: manual redaction has been applied to this document
- Automatic: automated redaction has been applied to this document
- Both: both manual and automated redactions have been applied to this document
- No status: no redaction has been applied to this document
