    Automated Redaction

     

    Applying Auto-Redaction

     

    Auto redaction can be applied to a whole folder, a selection of items or a single document. 

    • Right-click on the folder or document and select ‘Apply Auto-redaction’.
    • On the bottom of the pop-up, expand the list(s) and select what needs to be redacted automatically (for example, in the below case “Email” under PII Redaction has been chosen for Auto Redaction)
      • PII items: pre-set and AI-detected items related to personal information
        • Company Names
        • Person Names
        • Emails
        • Addresses
        • Telephone numbers
        • IBAN
        • Dates of birth
        • Social Security Numbers
        • Passport numbers
        • Monetary Values
      • Regex items
      • List items
      • Excluded items
        • Any lists of words to be excluded from being redacted, either created from the Smart Redaction settings or the in-document tool

     

    • Click on Apply auto redaction

     

     

    • Once auto redaction has been applied, under the Redaction column, “ Automatic” will be mentioned. When opening the document, the “ Email” occurrences have been redacted.

     

     

     

    Check your documents

    As efficient as Smart Redaction can be, it is advised to check your document before publishing it to users. In the document, automated redaction appears in blue (vs in black for manually redacted areas). All the redacted parts will be displayed in black from the Published view.

     

     

    What's beneath?

    To view what's beneath the redacted parts, enable the ‘Redaction View Mode’ by clicking the eye icon.

     

     

    Editing Auto-Redaction

     

    When you need specific documents to have applied different Auto-Redaction settings, click its title to open it and enable the ‘Redaction’ panel.

     

     

    • On the left pane, choose which items or topics should be enabled or disabled, or even which words by expanding the results (click the ‘+’ next to each topic). From that pane, you can also manage the lists you want to apply (or not) to the document.

     

     

    • Once done, click ‘Apply Redaction’ on the bottom of the pane.

     

    Save before closing

    Don't forget to save your changes (top right icon) before closing the document. A pop-up will remind you this action if some changes are unsaved and you try to close the window.

     

     

     

    Publish your changes

    As for any other changes within the room, Smart Redaction ones must be published, allowing external users to see the redacted document.
