Viewing Platform Messages
- Whether you are a Deal Manager or a Bidder, you can be allowed to access the ‘Communications’ tab to view the messages and notifications sent from within the platform.

- Choose the type of notification you would like to display from the left pane and select the notification from the list to display its content.

- Q&A Notifications: any notification related to the Q&A platform, based on the user's privileges, such as answers added, questions forwarded, etc.
- Task Reminders: any task-related reminder sent by email
- Publishing Notifications: any notification about items that have been made newly available in the Documents area
- Other Messages: any other message (i.e. custom messages sent by Deal Managers)
- Deleted Items: any item removed from another list
Writing Platform Messages
Only for Deal Managers
You need to be a Deal Manager, who has access to the Communications' tab, to originate an email from the Imprima VDR platform.
Creating a message
- In the ‘Communications’ tab, click on the ‘Write a new message’ icon to open the related pop-up.

- In that pop-up, enter all the information needed to compose your message and choose recipients from the VDR user groups.

- Select recipients: Select or expand one or multiple groups to tick the recipients of your message.
- Select Folders & Documents to Reference: Select or expand one or multiple folders/documents to reference them in your message. The selected items will not be joined as attachments to your message nor linked, only listed as references.
- Email Subject: Write down your email subject here.
- Select Email Category: Categorize your email by using this drop-down menu. Users will then easily retrieve it in the available categories.
- Select Email Priority: Prioritize your email by choosing low, medium, or high.
- Text area: Write down your message or copy-paste your text from another app in here.

Checkboxes
- Permissions check: The permission settings will not be checked when sending this email. Be cautious about the items you may reference in your email.
- Recipient's notification frequency bypass: By ticking this, the email will be sent to the recipient(s) immediately, regardless of their notification frequency preferences (profile area).
- Action buttons: Choose to save your draft, preview it or send it directly to the selected users.
Permission Settings are not checked
Should you have referenced items within your message, be aware that permission settings will not be checked based on the selected recipients. Some items referenced might be hidden from them in the data tree.
Sending Multiple Messages
You can send multiple messages that have previously been saved as drafts. To do so, select the drafts you would like to send and click the ‘Send selected drafts’ button.
Editing a message
- When your message has been saved as a draft, you can still edit it by selecting the message you want to edit and clicking on the ‘Edit the selected message’ button. You will be led back to the ‘Compose New Message’ pop-up.

Managing Your Alias
- The Deal Manager's email address will not be displayed when sending a message from the platform. Instead, an alias as the name of the ‘Sender’ is being used. By default the alias is ‘Administrator’.

- To manage that alias, go to your profile area and update the ‘E-mail Alias’ field before saving.
