    Exporting a Permissions Report

    Permissions reports provide a detailed overview of access rights assigned to user groups within a data room. You can use these reports to review permissions, verify access settings, or share permission configurations with stakeholders.

     

    Generate a Permissions Report
     

    1. Open the Documents tab.
    2. Switch to the Permissions view.
    3. Select the folders you want to include, if applicable.
    4. Ensure the desired user groups are displayed in the permissions grid.
    5. Click Export.
    6. Select the report type.
    7. Confirm the export.

     

     

    The report is generated immediately and made available for download in the Download center.

    Choose a Report Type

    When exporting, you can select one of the following report types:

    • Construction View: Displays permissions based on the current working configuration. Use this report to review permission settings that are being prepared before publication.
    • Published View: Displays permissions currently available in the published version of the data room.
    • Comparison View: Displays differences between the construction and published versions, helping identify pending permission changes.

     

    Understand the Export Scope

    The report only includes the user groups currently displayed in the Permissions view. If additional groups are required in the report, they must first be added to the permissions grid before running the export.

     

    Exporting Specific Folders

    You can export permissions for the entire data room or for a specific area of the data tree. If a folder or subfolder is selected when the export is generated, only the content included within that selection is exported. This allows you to focus on a specific workstream, section, or folder structure.

     

    Included Information

    Permissions reports include the permission details associated with the selected items and user groups. Permission identifiers are automatically included in the report and do not require any additional configuration.

     

    Best Practices
     

    • Verify that all required user groups are visible before generating the report.
    • Confirm that the correct folder or subfolder is selected if you want to export a limited scope.
    • Use Construction View to review pending changes before publication.
    • Use Published View to audit permissions currently available to end users.
    • Use Comparison View to identify differences between working and published permissions.
