Permissions determine which user groups can access folders and documents within a data room. The Permissions view allows you to manage visibility and access rights across the data tree from a single interface.
Open the Permissions View
- Navigate to the Documents tab.
- Browse to the folder you want to manage.
- Use the Permissions switch to open the Permissions view.
The system automatically keeps your current location in the data tree, allowing you to manage permissions for the relevant content immediately.

Select User Groups
When opening the Permissions view for the first time in a session, you may be asked to select the user groups you want to manage.
Once selected:
- The chosen groups are displayed in the permissions grid.
- You can compare permissions across multiple groups.
- The selected groups remain available as you navigate through the data room.

Understand the Permissions View
The Permissions view consists of two main areas:
Data Tree
The data tree displays the folder structure of the data room. You can:
- Browse folders and subfolders.
- Select one or more items.
- Review permission indicators displayed on folders.
Permissions Grid
The permissions grid displays the selected items and the permissions assigned to each visible group.

Modify Permissions
- Select the folder(s) or document(s) you want to manage.
- Locate the user group in the permissions grid.
- Update the required permission settings by clicking the icon or right-clicking your selection then selecting the permission.
Changes are applied directly from the grid without opening additional configuration windows.

Automatic Saving
All permission changes are saved automatically. There is no Save button within the Permissions view. Each modification is stored as soon as it is made.

Publish Permission Changes
Although changes are saved automatically, they still require publication before becoming available in the published view. When unpublished permission changes exist, the global Publish button indicates that publication is required.

Copy Permissions Between Groups
You can copy permissions from one group and apply them to other groups. This is useful when creating new groups that should inherit an existing permission structure.
To copy permissions:
- Select the source group.
- Use the copy permissions action.
- Select one or more target groups.
- Confirm the action.
The selected groups receive the copied permission settings.

Returning to the Documents View
When you switch back to the Documents view, the system returns you to the same location you were viewing in the Permissions view. This allows you to continue working in the data room without losing context.
Additional Notes
- Permissions can be managed at the folder and document level.
- Permission changes are saved automatically.
- Permission changes still require publishing before they are reflected in the published view.
